Who may use the integration

Genesis Operations is an internal work system for people authorized by Genesis. Genesis grants assigned users a limited, revocable, nontransferable right to use its QuickBooks integration solely for Genesis's accounting work within their assigned access. Only an authorized Genesis administrator can start the connection to the designated Genesis QuickBooks company.

Accounting workflow

Staff submit receipt or invoice records in Genesis Operations. A submitted record can support both accounting review and grant review; grant review does not authorize an accounting entry. An approved accounting review supplies the vendor, transaction date, amount, accounts, and other details needed for a QuickBooks bill or paid expense. Only the authorized executive director role can initiate a QuickBooks posting.

The integration may link the Genesis record to a verified existing QuickBooks transaction or create a new transaction after its duplicate and bank-feed checks. It may attach the approved receipt file to that transaction.

Use of records and account access

Users must submit accurate records, protect their account access, and use the integration only for authorized Genesis work. An automatically suggested receipt field is not an approved accounting decision; responsible staff review the source document and accounting details.

QuickBooks service

QuickBooks Online is provided by Intuit. The Genesis administrator's connection authorizes the integration to access the designated company's QuickBooks accounting data within the approved scope.
